Administrator - Real Estate

Job Purpose:

 

To provide administrative support to the Sales & Leasing Teams by maintaining records, handling documentation, managing CRM data entry, and ensuring smooth coordination between internal teams to help streamline sales and leasing operations, ensuring accuracy and efficiency in all administrative processes.

 

Key Accountabilities:

 

  • Sales Documentation & Filing: Maintain and organize all sales-related documents, contracts, and lease agreements systematically for easy retrieval and compliance.
  • Data Entry & CRM Management: Accurately input customer and transaction details into CRM and other relevant databases. Ensure data integrity and generate reports for management.

 

Job Description

 

  • Administrative Support: Assist the Sales Team in preparing reports, presentations, and correspondence. Manage internal documentation and process approvals.
  • Record Maintenance: Ensure all customer and transaction records are updated regularly, stored securely, and in compliance with company policies.
  • Coordination with CSR Team: Function as a liaison between the Sales Team and the Customer Service Relations (CSR) Team at the Head Office for document approvals and follow-ups.
  • Event & Meeting: Support the organization of sales events, team meetings, and customer interactions by managing logistics and preparing necessary materials.
  • System Updates & Reporting: Update and maintain sales-related records and generate periodic reports for performance tracking.
  • Office Supplies & Inventory: Manage office supplies for the Sales Team, ensuring availability and timely procurement.
  • Compliance & Policy Adherence: Ensure all administrative processes comply with company policies and regulatory requirements.

 

Minimum Education:

 

  • Diploma or bachelor’s degree in business administration, Office Management, or a related field

 

Knowledge & Technical Skills:

  • Proficiency in MS Office Suite (Word, Excel, PowerPoint).
  • Experience with CRM software and data entry
  • Advanced in Salesforce
  • Excellent organizational and time management skills.
  • Attention to detail and accuracy in documentation.
  • Basic understanding of real estate sales processes (preferred).
  • Language Proficiency – Arabic and English

 

Minimum Experience:

  • 2-3 years of experience in administrative roles, preferably within a sales or real estate environment.
  • Proven experience in managing documentation and supporting sales teams
